How HAALO handles your information.
HAALO Ltd (“HAALO”, “we”, “us”) is the controller responsible for the personal information we hold. We are registered in England and Wales, company number 13683897, at 3rd Floor, 70 Gracechurch Street, London EC3V 0HR, and registered with the Information Commissioner’s Office under registration number ZC22857. This statement explains what we hold, why we hold it, and what you can ask us to do about it. Our use of cookies is covered separately, in our Cookies Statement, and our use of artificial intelligence in our AI Statement — including our commitment never to enter client-identifiable, personal or commercially sensitive information into public AI tools.
What we hold, and why
If you contact us — by email, by phone or through this website — we hold your name, your contact details and what you told us, so that we can respond and, where it leads to work, run the engagement. In carrying out advisory work we handle personal information that appears in project material, such as correspondence and records held by our clients about a building and the people connected to it. We hold recruitment information where someone approaches us about working with HAALO. We do not buy contact lists, and we do not sell or trade your information.
Why we are allowed to hold it
We rely on our legitimate interests in responding to enquiries and running our business; on our contract with you where we are engaged; on your consent where you have opted in to something; and on legal obligation where the law requires us to keep records. Where we handle personal information on a client’s instructions, the client remains responsible for it and we act on their behalf under our terms of engagement.
Who sees it, and where it is held
Personal information is held in our governed business systems and is available only to the HAALO people who need it. We share it only where necessary: with the client and their appointed team where the work requires it, with our professional advisers and insurers, and with regulators where we are obliged to. Where a provider processes information outside the United Kingdom, we satisfy ourselves that appropriate safeguards are in place.
How long we keep it
We keep enquiry records only while the enquiry is live. We keep project records for as long as we may need to answer for our advice — normally at least six years after an engagement ends, and longer where a legal duty or the nature of the asset requires it.
Your rights
You can ask for a copy of the information we hold about you, ask us to correct or delete it, ask us to restrict or stop using it, and withdraw any consent you have given. You can also object to our using it where we are relying on our legitimate interests, and ask us to transfer information you gave us to another organisation where that applies. Just ask. If you are not satisfied with how we have handled your request, you can complain to the Information Commissioner’s Office at ico.org.uk.
